Job Title: Secretary & Administrator

Department: Management

Location: Dubai Office

Position: Full Time (6/1) 8 hrs per day

Responsibilities

Oversee and support all administrative duties in the office and ensure that office is operating smoothly
Receive and sort incoming mail and deliveries, and manage outgoing mail
· Booking transport and accommodation

· Organizing company events and conferences

· Manage office supplies inventory and place orders as necessary: Ordering stationery and IT equipment

· Dealing with correspondence, complaints, and queries

· Preparing letters, presentations, and reports

· Processing invoices and managing office budgets

· Implementing and maintaining procedures/office administrative systems

· Organizing induction programs for new employees

· Ensuring that health and safety policies are up to date

· Attending meetings with senior management

Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
Manage office budget
Identify opportunities for process and office management improvements, and design and implement new systems
Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, creating reports, and managing databases.
Assisting the organization’s HR and finance functions by keeping personnel records up to date, arranging interviews and updating financial documents

Qualifications

Bachelor’s degree in business administration, communications, or a related field
2-5 years of work experience in an administrative/office management role
Must have exceptional attention to detail
Strong organizational and time management skills, and ability to prioritize
Must be a self-starter and driven
Excellent communication, negotiation skills, and interpersonal skills
Strong problem-solving skills and analytical abilities
Must be proficient with Microsoft Office and Google products
Adaptability
Organizational skills
IT skills
Initiative
Leadership and the ability to ‘make things happen
Budgeting skills
English Language (Advanced level).
