Location: In this position, you will be based in our office in UAE -Dubai.
Job purpose: This position will be responsible for supporting the Logistics department, coordinating and administering the sales process from orders reception to the delivery and invoicing in the line with sales commercial policy while it is provided with high support and professionalism.A key focus on excellent customer service with a good level of knowledge and understanding of excel To create a reliable and efficient service quality, respecting priorities and sales policy.
Key Responsibilities:
Preparing proforma invoices based on Sales order confirmation/ Packed File provided by the Sales team
Assisting in executing order preparation file to the warehouses.
Support the Import Shipment collection from suppliers and preparation of ASN (Advance Shipment Notice) for the warehouse.
Liaising the priority folders for collection and VAS (Value Added Services) instruction with the warehouse
Preparing Export Shipment documentation – Invoice with HS Code, HS Code Summary and Packing List.
To prepare a final invoice to the customer and coordinate with the Finance department for payment / SOA updates
Assisting requirements of Shipping and Logistics in accordance with the Local and International Import/Export activities.
Daily preparation and update of shipment logs and records of warehouse stock, executed orders etc.
Obtain all attested documents necessary for certification, legalization and Letter of Credit Transactions
Process shipment documents and test reports for relevant countries based on country regulation
Responsible for Monitoring and Completion of Inbound and Outbound Shipments files.
Creating and updating shipment folders by checking if all documents are complete (TOW, Cargo Release order, BOE, BL)
Ensuring Supplier and Vendor Invoices are in line with Sales and company agreements
Communicate with suppliers, vendors and customers to ensure smooth operations across all involved entities
Plan and track the shipment according to customer requirements
Proactively monitoring the status of shipments, identifying, and dealing with any issues as they arise
Requirements and skills:
Proven experience as logistics coordinator and experience in customer service
Ability to work with little supervision and track multiple processes
Working knowledge of logistics software (ERP) and advanced excel
Outstanding organizational and coordination abilities
Excellent communication and interpersonal skills
