We are looking for an organized and self-motivated Office Administrator to join our organization. In this position, you will manage a variety of secretarial, administrative and basic accounting tasks. As you will provide office support and coordinate office activities, a positive attitude and attention to detail are a must.

Responsibilities:
Administrative Tasks
· Producing documents, reports and presentations as needed
· Coordinating with clients, vendors and suppliers
· Supporting office staffs whenever needed
· Providing general assistance during live events
· Overseeing daily office operations and ensuring everything is in order
· Company registration to portals of clients, suppliers, government entities, etc.
· Supporting personal requests of Managing Partners
· Preparing company forms and documents requested by staffs
· Preparing letters, templates, forms, policies, guidelines, etc when needed
Finances and Basic Accounting
· Document gathering for Bookkeeping, VAT filing and Financial Reports
· Supplier payments and payroll processing
· Sending invoices and payment reminders to clients
Liaison Officer
· Application and renewals of company documents
· Ensuring company’s compliance to authority guidelines
· New employee onboarding
· Visa application, renewals and cancellations
· Insurance application, renewals and cancellations
· Bank requests submission
Logistics
· Arranging export/import shipments
· Preparing all necessary documents for shipments
· Monitoring shipments and addressing concerns
Skills and Experience
· Experience in same or similar role preferably in an events agency or hospitality industry in GCC
· Fluent in MS Office Suite
· Able to communicate clearly and concisely in both written and oral English
· Excellent interpersonal skills and able to deal effectively with people at every level
· Strong time management and able to prioritize multiple tasks
· Experience and sensitivity dealing with confidential information
· Highly organized and able to manage deadline-oriented tasks
· Self-starter and strong initiative able to anticipate need, rather than respond to instructions
· Willingness to work irregular hours
· Ability to work with minimal supervision
· Some experience in Doc Control will be preferable
· Willingness to travel locally and internationally to meet company needs
